Terms & Conditions

Welcome to Embrace Ultra Ltd. These terms and conditions govern your use of our website, services and events. By using our website, services and events, you agree to these terms and conditions.

1. Events and Registration

1.1 Embrace Ultra Ltd organises ultra marathon events. Participants must be at least 20 years old to register for our events.

1.2 Participants must register for our events through our website or other approved online booking provider(s). Event entry fees are non-refundable.

1.3 Participants can transfer or defer any race entry to a future event of the same distance or less up to 1 week (7 days) prior to the original event date (subject to availability). You can only defer an entry once and this must be done by emailing info@embraceultra.co.uk.

1.4 If you wish to transfer your entry to another runner, this must be done up to 1 week (7 days) prior to the event date. To do this you must email the new runners full contact details, any club affiliation and medical conditions to  info@embraceultra.co.uk.

1.5 We allow pregnant and postpartum mums to defer their event entry for up to 2 years. This also applies to adopting parents.

1.6 Upon completion of the entry form and receipt of payment, the Participant will receive an email confirming entry to the Event from our online booking provider(s). The email will be sent to the email address you have provided and it is your responsibility to ensure that this is accurate. If your email address is accurate and you have checked your spam/junk folder, but have not received an email, please contact the Embrace Ultra Ltd at info@embraceultra.co.uk.​

1.7 Participants must provide accurate and complete information during registration, including their name, age, contact and medical information.

1.8 Participants must agree to our waiver and release of liability before participating in our events.

1.9 Embrace Ultra Ltd reserves the right to cancel, postpone or modify our events for any reason, including but not limited to weather conditions, safety concerns or other unforeseen circumstances.

1.10 In circumstances where Embrace Ultra Ltd is forced to cancel an event, it will look to establish a new date within the same calendar year. If no suitable alternative date is available, Participants will receive a 50% refund of their event entry fee.

2. Safety and Conduct

2.1 Participants must follow all instructions and rules provided by Embrace Ultra Ltd staff and volunteers. 

2.2 Participants must conduct themselves in a safe and respectful manner at all times during our events.

2.3 Embrace Ultra Ltd prides itself on having fun and inclusive events. We have a zero tolerance policy to any form of abuse, disrespect or violence aimed towards other Participants, organizers, volunteers, spectators, general public or any other persons you come in contact with. This applies during our events and any other social media sites. Embrace Ultra Ltd reserves the right to ban any person from future events. 

2.4 Participants must wear appropriate clothing and gear for our events, including any mandatory race kit requirements set by Embrace Ultra Ltd.

2.4 Participants must not use drugs or alcohol before or during our events.

2.5 Embrace Ultra Ltd reserves the right to disqualify or remove any participant who violates our safety and conduct rules.

3. Liability and Indemnification

3.1 Participants acknowledge that our events involve inherent risks, including but not limited to risks of injury or death.

3.2 Participants agree to waive and release Embrace Ultra Ltd, its staff, volunteers, and sponsors from any liability for any injuries or damages that may occur during our events.

3.3 Participants agree to indemnify and hold Embrace Ultra Ltd, its staff, volunteers, and sponsors harmless from any claims, damages, or expenses arising from their participation in our events.

4. Intellectual Property

4.1 Embrace Ultra Ltd owns all intellectual property rights related to our events, including but not limited to our name, logo and website content.

4.2 Participants may not use Embrace Ultra Ltd's intellectual property without our prior written consent.

5. Privacy Policy

5.1 Embrace Ultra Ltd collects and uses personal information from participants for the purposes of organizing and managing our events.

5.2 Embrace Ultra Ltd is committed to protecting the privacy of our participants. We will only share personal information with chosen third parties acting on our behalf to enable us to put on events. This includes race timing companies, event photographers, online booking platform providers, medical staff and other service providers necessary to facilitate the event. We will never sell or share personal information with any other third parties without explicit consent from the participant.

5.3 We take appropriate measures to ensure that our service providers are bound by confidentiality and privacy obligations in relation to the protection of your personal information.

5.4 Participants may opt out of receiving marketing communications from Embrace Ultra Ltd at any time.

6. Governing Law and Jurisdiction


6.1 These terms and conditions are governed by the laws of the United Kingdom.

6.2 Any disputes arising from these terms and conditions will be resolved in the courts of the United Kingdom.

7. Changes to Terms and Conditions

7.1 Embrace Ultra Ltd reserves the right to modify these terms and conditions at any time.

7.2 Participants will be notified of any changes to these terms and conditions through our website or other approved channels.

7.3 Participants agree to abide by the most current version of these terms and conditions.
